What is a Workflow (in AI)?

What it is: A workflow is a set of steps that happen in order, usually without you. In AI, it’s when one thing happens, then the AI does the next thing, then the next, until the task is done.

A workflow is a recipe. But instead of you following the steps, a computer does.

Here’s a simple example. Say a new customer emails you. You want to:

• Read the email
• Tag it as a customer question
• Write a reply
• Save the customer’s info in your contacts
• Send the reply

That’s 5 steps. You could do them yourself. Or you could build a workflow so a computer does them for you — every time, forever.

Parts of a workflow

• Trigger: What starts the workflow. (“A new email arrives.”)
• Steps: What happens next. (“Read it. Write a reply.”)
• Actions: The end result. (“Send the reply. Save contact.”)

Tools for building AI workflows

• Zapier — easiest for beginners
• Make.com — more powerful, still no code needed
• n8n — most powerful, a bit more technical
