Everyone agrees the CRM should be current; nobody enjoys updating it. So here I build an agent that does it: paste your messy meeting notes, and it pulls out what matters and updates the record. I keep a human check on what it writes.
What will you build?
A CRM agent. You paste notes from a call or email, and it extracts the contact, the company, and the next steps, then updates your CRM (such as HubSpot or Salesforce) and flags anything it could not find. Less admin, a cleaner CRM.
What do you need to start?
- A free Gumloop account.
- Your CRM connected (for example HubSpot).
- Some meeting notes to test with.
How does it work?
It is an agent with your CRM connected and instructions on what to extract and update. App policies keep it inside safe limits while it writes.

How do you build it, step by step?
Create a New Agent, connect your CRM, and paste:
You are my CRM assistant. When I paste meeting notes, extract the
contact name, company, and next steps, and update the matching CRM
record. If you cannot find a match or a field, flag it for me rather
than creating duplicates.
How do you set the model to Claude?
Open the AI step or agent and pick the model. For careful work I use Claude 4.8 Opus, the “Smartest” option; a faster model saves credits on simple runs.

How do you run it?
Paste notes and run it. Check the record it updates the first few times. Set app policies so it updates but asks before creating or deleting, until you trust it.

What can go wrong?
- Duplicates. The instruction tells it to flag rather than create when unsure. Keep that line, and set policies to require approval for new records.
- Wrong match. Give it enough detail (company plus name) so it updates the right contact.
